Scott Meyer built the system using Chipp and Zapier — two tools accessible without an engineering team. The design prioritized eliminating the two biggest time sinks: inbound status calls from applicants and manual application review. A public-facing Chipp chat interface now handles all applicant questions and status inquiries without staff involvement. Applications submit through a form, route automatically into Google Sheets, and are ranked by AI against the foundation's grant criteria — with a drafted award email waiting in Gmail for human review and approval. No award is sent without staff sign-off, preserving the human judgment layer the foundation requires. The whole system was built within a 4–8 week window. The operational workload dropped from the equivalent of one full-time employee (five staff at 20% each) to 0.3 FTEs. Staff now spend their time on what only they can do: selecting who receives funding. The engagement also revealed a second use case — a land title research workflow using the same stack is projected to save the organization six figures annually.
